Personal Information Protection Policy
SHIP Co., Ltd. (hereinafter referred to as "the Company") conducts business in software development, creative support, MSP services, and AI consulting. In the course of these business activities, the Company handles personal information, including the contact information of customers and business partners, employee information, and information related to job applicants. The Company recognizes the importance of protecting personal information, and positions the protection of individual rights and interests as a matter of utmost priority by establishing, implementing, maintaining, and improving a personal information protection management system in compliance with JIS Q 15001:2023. The Company hereby declares that it has established the following policy, will ensure it is thoroughly communicated to all employees, and will continuously uphold it.
1. Proper Acquisition, Use, and Provision of Personal Information
Personal information shall be acquired through lawful and fair means, limited to the scope necessary for the Company's legitimate business operations and the employment and personnel management of its employees. The acquired personal information shall be used and provided only within the scope necessary to achieve the purposes of use specified in advance, and appropriate measures shall be taken to prevent the use of personal information beyond such purposes.
2. Compliance with Laws, Government Guidelines, and Other Standards
The Company shall comply with the Act on the Protection of Personal Information and other relevant laws and regulations, government guidelines, and other standards. Furthermore, the Company shall continuously monitor changes to these laws and guidelines, and incorporate them in its personal information protection management system.
3. Risk Assessment and Security Management Measures for Personal Information Protection
The Company shall continuously identify and assess risks associated with the handling of personal information, and shall implement reasonable safety management measures appropriate to the scale and nature of its business to address risks such as leakage, loss, damage, and unauthorized access. In the event that any problem arises, the Company shall promptly implement corrective measures.
4. Management of Employees and Contractors
The Company shall conduct education and training for its employees regarding the proper handling of personal information and ensure thorough compliance with the personal information protection management system. Furthermore, when entrusting the handling of personal information to third parties, the Company shall exercise appropriate supervision over such contractors.
5. Respect for the Rights of the Individual
The Company shall respond appropriately and in accordance with applicable laws to requests regarding disclosure, correction, addition, deletion, suspension of use, erasure, or suspension of third-party provision of retained personal data.
6. Complaints and Inquiries
The Company shall respond appropriately to complaints and inquiries regarding the handling of personal information. To this end, the Company shall establish a contact point and maintain a response system.
7. Continuous Improvement of the Personal Information Protection Management System
The Company shall regularly review its personal information protection management system and strive for its continuous improvement in light of internal and external environmental changes as well as the nature of its business activities.
